Q. If I use the reminder function, will all of my clients receive a magazine every quarter?
 
A. No, not necessarily. It depends on which subscription option you have chosen. If you choose option 1, your clinic will be sending an educational magazine to the clients that you have selected. The hospital can decide who will participate in the program. If you choose option 2, this program would be used just as your current reminder system. The reminders you send out on a monthly basis would go out on the cover of the magazine. If you choose option 3, your hospital would use this program as the monthly reminder system. Also, those clients you would like to market to, and educate, on a quarterly basis would receive a magazine even if a reminder was not issued that quarter. If a reminder was not issued within that quarter, the hospital can put a message on the front cover that communicates new, vital, useful and exciting information about your practice. Our goal is to establish Pet Quarterly as a trusted "friend" for pet owners, and a publication that your clients look forward to receiving.
 
Q. What is the cost of Pet Quarterly?
 
A. If the clinic sends to less than 1,000 clients each quarter the cost is $.65 per copy. If the clinic agrees to send to more than 1,000 clients each quarter the cost is $.51 per copy. Postage is included in the cost of the magazine. Bulk magazines are available for distribution in your practice at a cost of $.51 per copy. Second and third postcard reminders are available for $.39 per postcard, which includes postage.
 
Q. Is there an extra charge for receiving The Team? How many copies of The Team will the hospital receive?
 
A. The Team is included in the cost of Pet Quarterly. Five copies of The Team magazine along with one copy of Pet Quarterly will be sent to the hospital 2 weeks before the magazines are sent out to clients. This will give the hospital time to prepare for the upcoming quarter. Additional copies of The Team can be ordered if needed.
 
Q. Does the hospital have to commit to a certain quantity of magazines per month or per quarter?
 
A. Hospitals are not bound to any agreement to participate in the Veterinary Marketing & Staff Development Program. The hospital can raise or lower the number of magazines they send out on a per quarter basis and discontinue at any time.  Hosptials should realize the importance of committing to a minimum of one year and understand that the results will be more apparent after one year as opposed to one quarter.
 
Q. When will I need to send my database?
 
A. Databases will need to be sent no later than 30 days prior to publication, which will be the first of the month prior to distribution. Deadlines will be provided for your convenience, and we will notify you of pending deadlines by fax and e-mail.
 
Q. How will I send the database?
 
A. The preferred method in technical terms is to provide a "delimited file" with a header record, but that may not be feasible for all participants. We will work one-on-one with all particpants on the best way to submit their database.  Transmission will be easy.  Databases may simply be e-mailed as an attachment to reminders@petquarterly.com.  Be sure to include the name of the hospital in the subject line of the e-mail. If the database is to be used for either a second or third postcard reminder, be sure to note this in the e-mail body as well. Of course files transferred to a disk and mailed are acceptable. We can accept any common software files for database management. Mainly, we need to be able to properly "read" a database to make sure the names and messages are not confused and misstated. We have account managers who will work with you to make sure that the database you send is correct.
 
Q. Will the confidentiality of the database be assured?
 
A. Absolutely. As a company that is founded and managed by veterinarians, we are acutely aware of the need to protect all client lists and databases. A confidentiality agreement has been signed with the publisher that protects all databases. A copy is available on request.
 
Q. What kind of message can I put on the magazine if I do not use the reminder function?  How many lines and characters?
 
A. The message area is very flexible and consists of 10 lines with 75 characters in each line. We will work with all participants on the messaging they would prefer.
 
Q. What are some suggested messages?
 
A. Besides the typical message indicating the time to come in for a procedure or office visit, you may wish to announce important chages in your practice. New services, new hours, new staff.....any "news" that can create a bond between your practice and your clients/patients.
 
Q. How many animals from one family will go on a reminder?
 
A. We will be able to accommodate multiple pet names, but adding names may shorten the message needed for each pet.  For instance, if one pet is due for several procedures, this may limit the space we have to remind about other pets. Generally, if the message elements fit on your database "lines", this will transfer to the magazine area as a message.
 
Q. How will I be billed for the magazine?
 
A. As soon as your order is analyzed and processed, our pubisher will bill you for the amount of magazines ordered multiplied by the magazine cost.  You may pay by credit card or check.
 
Q. What do clients say about Pet Quarterly?
 
A. A recent practice survey of 100 clients found the following:
  • 84% of surveyed clients remembered receiving Pet Quarterly.
  • 100% who remembered receiving the magazine read it.
  • 78% felt the articles were easy to read.
  • 80% said the artilces were interesting & relevant to their pet.

Q. What has the response been when Pet Quarterly has been used as a pet health reminder?

A. Response rates were measured in a practice that used Pet Quarterly as their first reminder, followed by a postcard as their second reminder and a phone call for their third reminder. Over a 6 month period, the reminder response rate averaged 63%!
